7 signs your business has outgrown spreadsheets
Spreadsheets are a good place to start. They are cheap, familiar and flexible. But there is a point where they start costing more than they save, and it usually arrives quietly.
1. People keep asking which file is right
When two people hold two copies of the stock sheet, someone is always working from old numbers. If your team asks "which one is the latest?", the file has stopped being the truth.
2. The same thing gets typed more than once
An order goes into a sheet, then into a bill, then into accounts. Each retyping costs time and invites a mistake.
3. You find out about problems too late
If you only learn that stock ran out when a customer complains, your information is arriving after the moment you could act on it.
4. Month-end takes days
When closing the books means chasing people and matching sheets, the numbers you need to run the business arrive weeks late.
5. One person holds it all together
If a single person understands how the sheets connect, their leave is a risk to the business.
6. You cannot see who changed what
A spreadsheet rarely tells you who changed a price or a quantity, or when. That makes mistakes hard to trace.
7. Growth makes everything harder
A new branch, product line or team should not double the paperwork. If it does, the system is holding you back.
What to do next
- List the three tasks where work gets typed twice
- Work out what that time costs each month
- Look for one system where a single entry updates stock, sales and accounts
You do not have to change everything at once. Start with the area that hurts most, and add the rest as you grow.
